2. Scheduling, Appointments and Cancellations
Appointments are scheduled through our online forms (Paperform). By scheduling an appointment, you agree to:

• Ensure that you are the legal pet owner or an authorized agent of the legal pet owner
• Confirm that all information regarding the pet, the owner, and any authorized representatives is truthful
• Comply with any service-specific requirements disclosed at booking

If you schedule or authorize services on behalf of another individual (such as a family member), or if multiple individuals are involved in payment, scheduling, or attendance at an appointment, you acknowledge that such individuals may be considered relevant parties for billing, verification, and debt-collection purposes.

We reserve the right to decline, reschedule, or cancel appointments when necessary. You will be informed of any applicable cancellation or no-show policies at the time of scheduling.

3. Payment and Billing
Payments may be processed through third-party providers such as Stripe Checkout. By submitting payment information, you authorize HolisticalVets and its payment processors to charge the provided method for all fees associated with services.

HolisticalVets does not store full credit card numbers or security codes. All payment processing is handled securely by Stripe according to their terms and policies.

4. Debt and Chargeback Disclosure
By using HolisticalVets’ services, you agree to the following regarding payments, disputes, and chargebacks.

All individuals who schedule, authorize, or pay for services are responsible for ensuring that full payment is completed. This responsibility includes all fees, charges, and costs associated with the transaction, including but not limited to:

• The full service fee for all services rendered
• Any payment processor fees, including non-refundable processing fees retained by Stripe
• Any chargeback or dispute-related fees imposed by the payment processor (e.g., Stripe’s dispute fees)
• Any administrative, documentation, or staff time costs reasonably incurred by HolisticalVets in responding to a dispute, failed payment, or chargeback
• Any costs of collection, including third-party collections agency contingency fees or legal fees, if the account is referred for recovery

Authorized representatives, family members, or any individual who schedules, approves, or pays for services agree that they may be held jointly and severally responsible for these amounts.

Initiating a chargeback or reversing payment for services rendered without prior communication may be considered a breach of these Terms. In such cases, HolisticalVets may provide necessary information about the transaction to:

• Banks and payment processors
• Licensed collections agencies or attorneys
• Law enforcement or regulatory authorities, if applicable

To substantiate the debt or resolve disputes, HolisticalVets may disclose:

• Names and contact information of individuals involved in scheduling, payment, or service authorization
• Details of services rendered sufficient to verify completion
• Payment method information and authorization details

Veterinary medical records unrelated to the debt or service verification will remain confidential.

If a balance remains unpaid after a reasonable period, HolisticalVets may assign the account to a third-party collections agency or attorney. Such agencies will have access only to the information required to recover the debt.

If services are scheduled or paid for by someone on behalf of another individual (e.g., family member, legal agent), all such individuals may be considered relevant parties for billing, verification, and debt-collection purposes.

5. User Responsibilities
By using our website or scheduling services, you agree not to:

• Provide false or misleading information
• Misrepresent your authority when scheduling services on behalf of another pet owner
• Attempt to interfere with or disrupt the website or Services
• Copy, reproduce, or distribute website content without permission
• Misuse appointment forms or communication systems

You are responsible for maintaining the confidentiality of your own devices, email accounts, and personal information used to access our Services.

6. Data Handling
